1. Overview & Single Purpose Statement

CloseFlow AI (“CloseFlow”, “we”, “our”) provides an autonomous AI call-closer platform and Google Chrome browser extension. The sole and exclusive purpose of the CloseFlow Chrome Extension is to allow authorized users to capture their own Google Meet or Zoom Web client discussions and generate structured follow-up email drafts, extracted action deliverables, and CRM deal stage updates.

2. Data We Collect and Why (Chrome Permissions)

Our Chrome extension requests the following minimum required permissions:

• tabCapture: Used strictly during active Google Meet or Zoom tabs when the user explicitly clicks “Start Recording”. Audio streams are processed in real-time for speech transcription. We never capture tabs in the background without explicit user activation.
• storage: Used locally in the browser to store user preferences, active recording timestamps, and recent meeting status.
• activeTab: Used to display the CloseFlow recording indicator pill directly within the meeting interface.

3. Audio Processing & AI Transcription

Audio recordings are transcribed using Deepgram Nova-3 enterprise speech engine and synthesized using Google Gemini 2.5 Flash. Audio data is transmitted over TLS 1.3 encrypted connections and is never used to train public machine learning foundation models.

4. Data Retention & Deletion

Users have complete control over their recorded call summaries and transcripts. Users may delete individual calls or purge their entire call history at any time directly from the CloseFlow Workstation Dashboard.

5. Third-Party Integrations (HubSpot & Zoom)

When you connect HubSpot or Zoom via OAuth 2.0, CloseFlow accesses only the necessary scopes to update deal pipelines and synchronize call notes with your explicit consent. We never sell, rent, or trade your personal or business data to advertisers or third parties.
